On the Basics — All the Backups

A recent Facebook group post from someone whose computer conked out when she was on deadline for a project reminded me of the importance of different kinds of backup. We’ve talked about backing up files, but that’s different from backing up equipment — perhaps because equipment can be so expensive, while backup systems can be free, or at least less expensive than buying an additional computer.

Because our ability to meet deadlines and keep our commitments to clients is essential to a freelancer’s business survival, it’s worth assessing what kinds of backups we need to make that happen. These suggestions might seem obvious, but should be useful reminders of practical basics for a freelance business.

The Ephemeral

First, the easy — and inexpensive — stuff. To make sure files and documents don’t disappear mid-project, open an online backup account on Dropbox, Box.com, Google Drive, or something similar so you can stash items as you go along and once you’ve finished them.

If you believe in “belts and braces” (both a belt and suspenders to hold up a pair of pants, even if just one or the other would do the job) as I do, back up to Time Machine as well as an external hard drive, disks, or any other physical backup system that you find easy to use. Backups to your backups are essential, because you never know what will continue to work and which providers will stay in business.

Make sure your essential software programs are live and licensed on every computer you have, and that you have the original disks or downloads so you can reinstall them as needed. That way, if the software goes wonky on one machine, it should still work on another, or you should be able to reinstall it on a new one (or maybe even on a friend’s loaner, temporarily). Keep in mind that many, if not most, programs can be licensed for more than one computer. Know about those options before you need them.

Oh, and save-save-save! Remember to save as you work, the more often, (usually) the better. With lengthy and complex documents, consider doing a Save As with a different filename before Word gets cranky. You’ll have several versions of the document, but that’s better than losing even a few minutes’, much less several hours’, worth of work. The client only has to see the final version, and you can ditch the interim versions once you’ve turned it in.

The Physical

The reality is that computers are not infallible. Even the most-respected brands can develop problems, and my experience — as well as what I’ve observed among colleagues — is that they will break down when we have the fewest resources in terms of money, time, contacts, and material to deal with a crisis. In budgeting to launch or maintain a freelance business, the ideal is to save, set aside, or maintain enough funds and credit so you can have at least two computers with the same software on them, just in case one of them goes south or you can’t use one of them. If you have more than one computer, you can send current files to yourself so they’re accessible on both or all machines, and you can work on them no matter which machine is handy or which one goes rogue and stops working.

I have an iMac desktop computer and a MacBook Air laptop, with the same software programs on each, so I can switch between them as needed. I also have an iPad that my brothers gave me a few years ago that I can use for e-mail and some rudimentary other programs in a pinch. I even have an old MacBook Pro that doesn’t hold a charge on its own but still works when plugged in, just in case all of the other three give up the ghost at the same time. Not that I’m a pessimist, but you never know.

I’ve usually maintained two current computers because of needing to work in different locations, either within my apartment or on the road versus at home, but the old iMac conked out recently, making the laptop even more essential to keeping my work going than usual. I was lucky enough to have funds in hand to replace it right away, but if I couldn’t have done so, I could still get my work done and meet those deadlines.

The Collegial

There’s yet one other option to develop and maintain: offsite ways to work through colleagues. In case your electricity goes out, for instance, or something other event makes it difficult or impossible to work at home for a while, have alternatives already in place.

That can mean knowing where the nearest public library is with computers you can use, a cyber café, co-working spaces, etc. It also can mean having friends who might lend you a computer or let you come over and camp out at their place to get the urgent work done.

It also can be a lifesaver to belong to a local computer users’ group. Once you’re active in one, you can usually count on other members to help with troubleshooting, equipment loans, repairs at less than what retail vendors might charge, and similar hand-holding in a crisis.

Book Indexes — Part 2: No Magic Wands

I took up indexing several years ago when I wanted to branch out from copyediting. I have found indexing to be more intellectually challenging and, thus, a welcome change from copyediting. I do both as a freelancer, but not on one book at the same time, and enjoy the variety.

Most indexers describe what they do as mapping a book — and it is mapping — but I think of it as looking at the book from a different angle. Think of forest and trees. When I am copyediting, it is like creeping along the forest floor, looking at not just every tree but at every detail. (I have seen that name spelled two different ways; which is correct? Does that comma belong here? This verb does not match the subject, but what is the subject in this twisted sentence? Is there a better word for that?) But when I am indexing, it is like flying over the treetops, seeing a bigger picture. (Here is a section on topic X. Over there, the topic is raised again. And this topic here is related to X. There is a lot of information about this person. How should I break it up and organize it?)

Indexing is a creative process. It is said that no two indexers would produce the same index of a given book. I have software to help me organize what I put into an index, but I am the one who decides what to include and what words to use. Just as you do not open a word processing program and expect it to write a document for you, I do not open my indexing program and expect it to write an index for me. Many people seem to think that I plug the manuscript into some software and out pops the index. (There are some programs that claim to do just that, but indexers in my circles say they cannot rely on them to produce a good index.)

No, folks, writing an index is not that easy. I actually read the book, cover to cover. I sometimes wish I had a magic wand that could do it for me — “Indexify!” — but I have to read everything.

“So do you read a page and put in all the A words, then all the B words, then all the C words?” asked a friend.

“No, I put in the words and the software alphabetizes them.”

She still seemed a bit stumped.

“Do you read the whole book first?” asked a nephew.

“No, there is not enough time to do that. I have to index from the start.”

Working from a PDF file of a book’s second proofs (usually), I read the foreword, preface, and introduction to get an idea of the importance of the book, the topics covered, and the book’s organization. From the table of contents, I often index the chapter titles and section headings to form the basic structure of the index. Each chapter title becomes a main entry, and the section headings form subentries. I will then break out most of those subentries to form their own main entries as well. (See Part 1 of this series.)

I often have to change the chapter titles or section headings to make them suitable for index entries. If the book does not have section headings, I have the more-difficult task of skimming the text for verbal clues to a change of topic.

Then I go back over the chapters and pick up more details within each section. If the entry has a long page range, I look for some logical way to break it down into smaller ranges; that is, create subentries. Also, if a particular name or concept has many different locators, I look for some way to break them into subentries. I also look for related concepts and write see also cross-references.

What to call a given entry is not always obvious. If nothing comes to me quickly, I use tools within the software — color coding to remind myself to come back to it later, and hidden text with a few words about the topic. Often after reading a few more pages, the answer comes to me.

One of the things that makes indexing so mentally challenging is that I have to keep so many things in my head at one time. If I indexed concept Z as term Z′, I have to continue to keep an eye open for Z throughout the book and remember to call it Z′ and not something else — all the while doing this for concepts A, B, C, etc. My indexing software can help me to use Z′ and not something else, but it cannot help me to remember to pick it out from the book. If I later realize that I have missed some cases of Z, I can attempt to search for a word in the PDF file to find it, but in most cases, there is no exact word or phrase that will take me to Z. The words in an index are often not found in the book, which is another reason why automatic computer indexing cannot produce a good index.

Names often present challenges to me and other indexers. In school years ago, I learned to look for names in an index under the surname — Abraham Lincoln under Lincoln — but not all cultures invert names, and parts of names such as de, von, la, Abu, and Ibn can be problematic. Medieval names and names of nobility and royalty have their own conventions. The first book I indexed for hire contained the whole range of problems: ancient Egyptian, ancient Greek and Roman, medieval, and royal names; pre-modern and modern Arabic names (which follow different conventions); European names with particles; nobility titles (from various countries, no less!); and saints, too!

Fortunately, I had a very understanding managing editor who knew this was my first paid index and was willing to help me with the difficult names. Not all indexers are so fortunate in their clients. What did I have to learn in my indexing course? In addition to conventions about names, there are conventions for wording entries (for example, use plural nouns, don’t use adjectives alone, use prepositions or conjunctions at the beginning of subentries in run-in style), different ways to alphabetize (handled by the software options), and guidelines for whether to index a given item — a topic for another day. The course I took from the University of California at Berkeley Extension also required us to sample the three major indexing software programs — Macrex, Cindex, and Sky — which all do the same things but are different in their interfaces. Online courses are also available from the American Society for Indexing and the Society of Indexers.

Lyonizing Word: Why Computers?

Dan A. Wilson, of The Editor’s Desktop, once advised editors that a computer is “far and away your most valuable tool, your ultimate enabler, your brain’s second-in-command. A brain with a pencil in its hand cannot compete — indeed, cannot even credibly challenge — a brain with a computer and computer-sophistication at its disposal.”

Why would that be so? After all, even under the guidance of the most brilliant programmer, a computer can’t ensure that a manuscript has accuracy, clarity, or elegance of expression. But a computer can fix hundreds of mechanical problems that editors shouldn’t have to worry about, and it can do it quickly and consistently.

If something can be automated, then automate it! Let the computer do the heavy lifting. Why is that important? Because it enables you to do more work in less time, and it frees your mind to concentrate on the things that a computer can’t handle (like accuracy, clarity, and elegance of expression). If you’re working for a corporation, that makes you more valuable as an employee (making raises more likely and layoffs less likely). If you’re working for yourself, it enables you to earn more money for the time you put in (as long as you’re charging by the job, the word, or the page, which you should be [see, e.g., On the Basics: Dealing with the Perennial Question of Setting Rates for Our Work]).

Editors working on a computer almost always use Microsoft Word. Love it or hate it (I do both), it is unquestionably the de facto word processor in the publishing world. So how can you use Word to automate whatever can be automated? Here are some suggestions:

  1. Learn to use the full power of Word’s find and replace feature, including wildcards. My Wildcard Cookbook for Microsoft Word will teach you everything you need to know. (No brag, just fact, as we used to say in grade school.)
  2. Learn to record and run macros to automate repetitive editing tasks. My Macro Cookbook for Microsoft Word is a good starting place.
  3. Use Microsoft Word add-ins (like the ones I create at The Editorium) that expand Word’s features to automate various editorial tasks. Let’s look at what some of those add-ins can do to ease your workload.

We’ll start with one of my most popular add-ins, FileCleaner, which cleans up some of the most common problems in electronic manuscripts, including:

  • Multiple spaces in a row
  • Multiple returns in a row
  • Spaces around returns
  • Double hyphens that should be em dashes
  • Hyphens between numbers that should be en dashes

I’d like to point out one special feature of FileCleaner that is frequently overlooked. See that option (under “Formatting”) to “standardize font formats (remove overrides)”? It removes all those odd, inconsistent uses of different fonts that authors like to use, but at the same time it leaves italic, bold, superscript, and styles intact. You won’t believe what a difference this can make in cleaning up a manuscript!

FileCleaner also offers to clean up the active document, all open documents, or all documents in a folder, which means you can run the program on a whole batch of files at once while you go back to reviewing manuscripts (or spending time with family and friends).

Remember all of my talk about automating what can be automated? This is what I’m talking about. Instead of manually doing dozens of find-and-replace routines on dozens of documents, let FileCleaner do the work.

MegaReplacer

FileCleaner is great for cleaning up common problems, but what if you have uncommon problems that you need to clean up? What if you need to go through three dozen documents and change millenium to millennium in all of them, along with dozens of other misspellings (manger to manager, rarify to rarefy, and on and on and on)? That’s what MegaReplacer is for. Again, it works on the active document, all open documents, or all documents in a folder. But unlike FileCleaner, it allows you to define your own find-and-replace items and then run them en masse. You start by creating a list of the items you want to find and replace, with the find item on the left and the replace item on the right, separated by a pipe symbol (|), which you’ll probably find under your backspace key. Your list will look something like this:

pubic|public

Save the list as a Word document, and you can use it over and over again.

So far, so good. But you’re not limited to finding and replacing individual words; you can find and replace whole phrases that you’d ordinarily have to fix manually while editing:

a small number of|some

To give you even more flexibility, MegaReplacer allows you to specify Match Case, Whole Words Only, both Match Case and Whole Words Only, or Use Wildcards by appending a code to the items on your list:

“+c” for Match Case
“+w” for Find Whole Words Only
“+&” for Match Case and Find Whole Words Only
“+m” for Use Wildcards

Here’s an example of each:

Furthermore, Editor’s ToolKit assigns these tasks to the function keys on your keyboard. Need to italicize (or romanize) a word? Press F8. Want to transpose two words? Press F11. To lowercase a word, press F10.

Please note that these keyboard assignments are the default setting for Editor’s ToolKit, which Rich Adin has correctly pointed out should not be the case (and will not be the case in the next version of the program). You can easily go back to Word’s original settings, however, by clicking the Editor’s ToolKit Plus icon and then clicking “Clear Keyboard Shortcuts.”

But if you find that you like the Editor’s ToolKit keyboard assignments, you can activate them by clicking “Set Keyboard Shortcuts.” The program download includes a keyboard template that lists the default shortcuts; print it out and place it above your function keys, and you’ll have a handy guide to which key does what (remember WordPerfect 5.1?).

The keyboard shortcuts for Editor’s ToolKit are not arbitrary, by the way. I’ve tried to arrange them so that the most common editorial tasks are right at your fingertips. For example, F7 toggles italic on and off. Yes, CTRL + I does the same thing, but after you’ve used F7 a few times, CTRL + I will seem clunky and annoying. Something that small does make a difference in how easily and smoothly you’re able to work in Word (see Lyonizing Word: The Right Tool for the Job and Lyonizing Word: Assigning Macro Shortcut Keys).

Many other features are available from the keyboard, but my favorite is Cap Title Case. To use it, select the text you want to put in title case and press F9. But doesn’t Microsoft Word already have that feature? Yes, it does. But take this example:

In other words, Editor’s ToolKit properly handles common articles and prepositions. (The next version of the program will allow you to specify those you want to use.)

All of these are small things, but in the pressure-cooker of day-to-day editing, small things make a big difference in the ease and even the pleasure with which these tiny tasks can be accomplished. I’ve been a working editor since 1978, so I’ve been doing such tasks a long time. I created these tools (and the many others included with Editor’s ToolKit Plus) so that my computer can handle the boring, repetitive, mechanical tasks, allowing me to do the more enjoyable and important work that a computer, no matter how sophisticated, simply cannot do. That, right there, is the reason for computers.

Rates, Data Tracking, and Digital Efficiencies (Part II)

In Part I, I discussed some of the ways in which proofreaders working for agencies or publishers on typeset page proofs find themselves worse off in real terms. I also wrote about the importance of tracking business-performance data so that the proofreader can assess the health of her business and see where the problems are.

Here in Part II, I consider three options for how to deal with problematic rates, including my preferred solution — that of introducing digital efficiencies.

1. Discuss the Issue with the In-house Project Manager (PM)

You might be able to negotiate a better fee for the job. Even if your negotiations don’t end up in the rate increase you wanted, at least you’ll have a clearer understanding of why the press’s rates have either decreased or not risen in line with the cost of living. Any decision you make thereafter will be informed by knowledge of the press’s business concerns.

One mistake inexperienced editorial professionals make when setting about negotiations is lack of preparation. The “it’s not fair” approach is unlikely to be persuasive. Your PM may be sympathetic to your plight, may even acknowledge that many of her freelancers are feeling the pinch and that the editorial fees she’s offering are making it difficult for editors and proofreaders to sustain a viable business. However, unless you can give her substantive reasons why she needs to go down the negotiation route (as opposed to simply offering the job to some other freelancer who won’t quibble about the fee), your frustrations are likely to get you nowhere.

Instead, tell your PM why the project is worth more money. Do the sums where necessary so that she understands why she should pay more. I did this for a project earlier this year. I’d accepted a flat fee for proofreading a book on the understanding that it had been professionally copy-edited. It transpired that this wasn’t the case, and the proofs needed a level of attention that meant I’d be working for an estimated £10/US$16 per hour. This was completely unacceptable to me — the hourly rate worked out well below that which I both need and want to earn.

I could have declined the work but I took the time to provide a detailed explanation of the problems. Consequently, she understood that there had to be some give and take, and I was able to negotiate a substantial increase — one that, upon completion of the project, worked out to be £24/US$39 per hour. Given how invasive I’d been (though it was neither a proper copy-edit because I was working within the restraints of page proofs, nor was it a proper proofread because I had to do some sentence rewriting), the final hourly rate was still not as high as I think it should have been but it was one that I was prepared to accept, and it was north of my required effective hourly rate.

2. Elect Not to Work for the Press

As independent business owners, proofreaders have the right to choose with whom they work. If I’m unhappy with the rates a publisher is offering, I can decline the work and seek out better-paying clients. Though I’m constantly marketing my business in a bid to make myself discoverable and interesting to new and better-paying customers, letting go of an existing client is an option I only want to employ when all others have been exhausted.

3. Introduce Efficiencies

This is my preferred option, and the preferred option of An American Editor, as indicated in numerous previous essays by Rich Adin and his contributing writers. Finding efficiencies is especially important if I’m dealing with a long-term client that provides regular proofreading work that I enjoy doing and adds value to my portfolio. Not all of my publishers provide me with an income-per-project that works out at my preferred rate (what I want to earn) or, more importantly, my required rate (what I need to earn), but I absolutely love the books they send me and I therefore want to find a way to continue the relationship with them.

Introducing Digital Efficiencies…

Recently, I chatted with a colleague about rates. We have a common client and he’d noticed that the page rate had decreased — so we’re proofreading the same number of words per page as two years ago, but for less money. In theory, we’re worse off. He certainly thought he was worse off.

However, I looked at my project data spreadsheet and it told a different story. My spreadsheet showed that my extrapolated hourly rate for this client was higher than it was two years ago, to the extent that I was better off in real terms. Importantly, it was in excess of my required effective hourly rate. Even though I was earning less per page, I was still getting a higher overall reward for the time I spent working for this client. How could this be? I didn’t think I was worse off.

Something that emerged from my discussion with my colleague was that I was utilizing digital tools, whereas he was not. I believe that this is how I’ve managed to ensure that my extrapolated hourly rate has increased to the extent that I’m better off. I’ve become more accomplished at using these tools, too, so any efficiency gains aren’t one-off — there are marginal benefits to be accrued.

PDFs, Proofreading, and Saving Time…

Not all my publisher clients want me to mark up the PDF version of a proof; some still want hardcopy annotation. But all of them send me a PDF, and that means I can still introduce efficiencies. Here are just some of the ways that I think working with a PDF saves me time:

  • Chapter headings/drops: The PDF proof usually comes with each chapter bookmarked. If it hasn’t, I do this myself. Clicking through those bookmarks enables me to check in seconds that the chapter drops, and the font and size of the chapter headings, are consistent. I don’t waste valuable time thumbing manually through, say, 350 separate bits of paper, sticking Post-it tabs to the chapter-title pages, and measuring or cross-comparing the pages, while trying to ensure the whole lot doesn’t end up on the floor (it has happened!).
  • Reference checking: Even if you don’t use something like the fabulous ReferenceChecker (one of my favorite tools — though you’ll need to dump the text from the PDF into a Word document first), it’s much quicker to search for an author’s name in the PDF, and click straight through to the references/bibliography, than manually fiddling with bits of paper.
  • Global searches: We can do superfast searches for erroneous spaces before colons, semi-colons, and full points; and for possible problematic words such as “pubic,” “manger,” and “asses.”
  • Other layout issues: Using a PDF, it takes seconds rather than minutes to search for and check the positioning and styling of figures and tables, running heads, page numbers, and word breaks at the end of recto pages. The same applies to checking that the text on facing pages is balanced, as well as spotting widows and orphans.

Other Digital Efficiencies

  • Onscreen markup: Ask your client if they’ll accept onscreen markup of PDFs. Even if they don’t like the idea of extensive use of the comment boxes, you can utilize proofreading stamps. These enable you to provide a digital version of a paper markup.   • Digital delivery: Following on from that, if your client allows you to mark up onscreen, you can simply email the marked-up proofs. Consider how much time you spend dropping projects off at the post office or waiting for couriers to arrive. If you are proofreading on a fixed-fee basis, that’s a cost to you, and it’s time you could be doing other billable work or drinking your favorite tea.
  • Utilize online dictionaries to check word-break preferences, spelling, hyphenation, and style preferences. It’s quicker than thumbing through printed reference guides.
  • Use additional digital tools such as macro suites, word-list generation tools like TextStat (“Revisiting an old favourite: TextSTAT, word lists, and the proofreader”, and consistency checkers (e.g., PerfectIt) when it’s appropriate to do so. They save you time while increasing your hit rate.

Toyota Does It, So Why Shouldn’t We?

UK readers may recall an episode of Digby Jones: The New Troubleshooter (BBC, 2014). In a bid to help a Durham-based electronics manufacturer, Ebac, British business ambassador Digby Jones took the owner to a Toyota factory to learn how staff have introduced even the smallest efficiencies to improve their productivity and profitability. Nothing in the factory was left out of the mix — from the layout of the factory floor to the use of high-tech equipment. If a change in process could help turn minutes into seconds, it was considered worthwhile. In other words, it’s about marginal gains.

If Toyota does it, why shouldn’t the proofreader? When we track and add up all our saved minutes, the total can have a significant overall impact on the time it takes us to complete the work we do. The use of digital tools isn’t the only way to introduce efficiencies, but it’s an obvious one to start with.
